Terms and Conditions
Booking and Deposits
All reservations require a 25% nonrefundable deposit at the time of booking. Your deposit secures your date and equipment. The remaining balance is due before delivery.
How to Book
Reservations can be made online 24/7 at capitaleventsaustin.com or by calling (512) 774-5377 Monday through Sunday, 9:00 AM to 6:00 PM. By completing checkout or verbally confirming a reservation by phone, you agree to these Terms and Conditions in full.
Deposit Amount
The deposit is 25% of the total order value. The deposit amount is displayed at checkout before you complete your order. The deposit is charged to your credit or debit card at the time of booking.
Remaining Balance
The remaining 75% of your order balance is due on or before delivery day. Our delivery crew will collect the remaining balance before unloading equipment. We accept credit cards, debit cards, cash, Venmo, Zelle, and PayPal for the remaining balance. Checks are accepted from schools, churches, and registered businesses only.
Booking Lead Times
We recommend the following booking windows to ensure equipment availability on your preferred date:
- Backyard birthday parties and small gatherings: 2 to 3 weeks in advance
- School carnivals and church festivals: 4 to 8 weeks in advance
- Large festivals, corporate events, and multi-category orders: 8 to 12 weeks in advance
- Fourth of July, Labor Day, and Memorial Day weekends: 10 to 12 weeks in advance

Cancellation and Rainchecks
The 25% deposit is nonrefundable. All cancellations convert to a raincheck credit valid for one full year from the original event date.
Cancellation Policy
If you cancel your reservation for any reason, your 25% deposit converts to a raincheck credit valid for one year from the original event date. This credit can be applied to any future rental with Capital Events Austin of equal or greater value.
Partial Payments
If payments beyond the 25% deposit have been made at the time of cancellation, those additional amounts also convert to raincheck credit rather than being refunded. No cash refunds are issued for any portion of payments made.
Raincheck Terms
- Rainchecks are valid for one year from the original event date
- Rainchecks apply to any rental in the Capital Events Austin inventory
- Rainchecks are non-transferable and have no cash value
- Rainchecks cannot be combined with other promotional discounts
- Rainchecks must be redeemed by calling (512) 774-5377 during business hours
Rescheduling
Rescheduling your event date is different from cancellation. If you wish to move your event to a new date, contact us at least 72 hours before your scheduled delivery at (512) 774-5377. Rescheduling is subject to equipment availability on your new date. Your deposit transfers to the new date at no additional charge when rescheduling is requested 72 hours or more in advance.
Weather Policy
Weather cancellations follow the same policy as standard cancellations. The deposit converts to a raincheck valid for one year. No cash refunds are issued for weather-related cancellations.
Customer-Initiated Weather Cancellations
If you choose to cancel due to weather concerns, contact us as early as possible at (512) 774-5377 before our delivery crew is dispatched. Once the delivery crew has departed our facility, the full order balance becomes due regardless of weather conditions at the delivery site.
Capital Events Austin Weather Cancellations
Capital Events Austin reserves the right to cancel or delay delivery in the following weather conditions for safety reasons:
- Sustained winds exceeding 25 mph or gusts exceeding 35 mph
- Active lightning within 10 miles of the event site
- Tornado warnings or watches in effect for the delivery county
- Flash flood warnings in effect for the delivery route or event site
In these cases, your order converts to a full raincheck credit at no penalty. Capital Events Austin is not responsible for weather-related event losses including venue fees, catering, or other third-party costs.
Equipment Operation in Rain
Light rain does not automatically cancel a rental. Inflatables can operate in light rain at the customer's discretion. All riders must exit inflatables immediately if lightning is detected in the area. Capital Events Austin operators will make the final call on equipment safety in deteriorating weather conditions.
Delivery, Setup, and Takedown
What Is Included
Every rental includes delivery to your venue, full setup and inflation of all inflatables, staking or water barrel anchoring appropriate to your surface, a pre-use safety inspection, and end-of-event breakdown and haul-out. There are no additional fees for setup or takedown.
Delivery Fees
Delivery fees are calculated based on distance from our facility in Liberty Hill, TX. Delivery fee amounts are shown at checkout before you complete your order. Delivery fees are non-refundable once the delivery crew has been dispatched.
Access Requirements
You are responsible for ensuring clear access to the setup area before our delivery crew arrives. This includes:
- Unlocked gates wide enough for equipment passage (minimum 4 feet for most inflatables)
- A clear path from the delivery vehicle to the setup area free of furniture, toys, and debris
- Pets secured away from the setup area during delivery and pickup
- Notification of any underground utilities, sprinkler systems, or buried lines in the staking area
If our crew is unable to access or set up due to site conditions, the full order balance remains due. Additional trip charges may apply if a second delivery attempt is required.
Surface Requirements
Inflatables can be set up on grass, concrete, and asphalt. Uneven terrain, slopes greater than 5 degrees, or surfaces with sharp objects may prevent safe installation. Capital Events Austin reserves the right to decline setup on surfaces deemed unsafe by our crew.
Power Requirements
Most inflatables require a continuous power connection to operate the blower motor. A standard 110v household outlet within 100 feet of the setup area is required. If no power source is available, a generator must be arranged. Generator rentals are available through Capital Events Austin. Power requirements for each unit are listed on the product page at capitaleventsaustin.com.
Rental Duration
Standard rentals run for up to 8 hours from the time of delivery. Extended rental periods are available by arrangement at the time of booking. Our pickup crew will arrive at the agreed-upon end time. You are responsible for ensuring the equipment is accessible at the scheduled pickup time.
Safety and Supervision
An adult supervisor aged 18 or older must be present and actively supervising all inflatable attractions at all times during your rental period.
Customer Supervision Responsibilities
Capital Events Austin provides safe, inspected equipment and proper installation. You are responsible for supervising all guests using the equipment throughout the rental period. Specific supervision requirements include:
- One adult supervisor (18+) actively watching the equipment at all times
- Enforcing occupancy limits posted on each unit
- Keeping riders of significantly different sizes and ages separated
- Removing shoes, glasses, jewelry, and sharp objects before guests enter inflatables
- Prohibiting flips, roughhousing, and climbing on the exterior of units
- Evacuating all riders immediately at any sign of lightning, high wind, or structural concern
Age and Weight Limits
Age and weight limits are listed on each product page at capitaleventsaustin.com and are posted on the equipment. Exceeding posted limits voids any liability protection and may result in damage charges.
Prohibited Items
The following are strictly prohibited inside or on any rental equipment:
- Food, drinks, gum, and candy
- Silly string, confetti, paint, and any spray products
- Water in dry inflatables (unless specifically designated as a wet/dry unit)
- Shoes, hard-soled footwear, and cleats
- Sharp objects, keys, and belts with buckles
- Pets of any size
Violation of these prohibitions may result in damage charges and early equipment retrieval without refund.
TDI Registration and Insurance
Capital Events Austin holds current Texas Department of Insurance Amusement Ride Safety registration, verifiable at tdi.texas.gov. We carry $1M+ general liability insurance on all operations. Certificates of insurance naming your venue, school district, HOA, or employer as additional insured are available upon request and are typically issued within 24 hours of booking.
Damage and Liability
Normal Wear and Tear
You are not responsible for normal wear and tear on rental equipment. Capital Events Austin maintains, inspects, and repairs all equipment between rentals as part of standard operations.
Customer-Caused Damage
You are responsible for damage caused by misuse, failure to follow safety guidelines, prohibited items, or negligent supervision. Damage assessment is made by Capital Events Austin staff at the time of pickup. You will be notified of any damage charges before your card is charged. Damage charges reflect the actual cost of repair or replacement and are not subject to negotiation.
Examples of chargeable damage
Silly string or spray product staining, seam tears caused by overloading, burn damage from contact with grills or fire, punctures from stakes driven by others, and water damage to dry-only units.
Limitation of Liability
Capital Events Austin's liability is limited to the total amount paid for the rental in question. Capital Events Austin is not liable for injuries resulting from failure to follow posted safety guidelines, unsupervised use, misuse of equipment, or use by guests who do not meet age or weight requirements. By booking with Capital Events Austin, you agree to indemnify and hold Capital Events Austin harmless from any claims arising from misuse or inadequate supervision of rental equipment during your event.
Third-Party Venue Requirements
If your event venue requires additional insured status on our certificate of insurance, provide the venue's legal name and address at time of booking. Capital Events Austin will issue the amended COI within 24 hours. Some venues require 5 to 7 business days for COI processing; plan accordingly.

Credit Card Processing Fee
A processing fee may apply to credit card payments. The fee amount is displayed at checkout. Cash, Venmo, Zelle, and PayPal payments do not carry a processing fee.
Returned Checks
A $35 returned check fee applies to any check that is returned for insufficient funds or account closure. Capital Events Austin reserves the right to require cash or electronic payment from customers with a returned check history.
Outstanding Balances
Equipment will not be delivered until the full outstanding balance is confirmed. Capital Events Austin reserves the right to withhold delivery for any order with an unresolved payment issue.
Carnival Rides and Mechanical Attractions
Operator-Staffed Equipment
All carnival rides, mechanical bulls, trackless trains, rock climbing walls, and bungee trampolines are delivered with a trained operator who remains on site for the full duration of the rental. The operator controls all aspects of ride speed, duration, and rider safety. Customer supervision responsibilities do not extend to operator-staffed attractions beyond keeping guests in an orderly queue.
Rider Requirements
Minimum age, height, and weight requirements for carnival rides are listed on each product page and enforced by the on-site operator. Capital Events Austin operators have final authority on rider eligibility and may decline to operate the attraction for any guest who does not meet requirements or who poses a safety risk.
Event Site Requirements for Carnival Rides
Carnival ride setup requires flat, level ground with specific clearance zones around each attraction. Exact space requirements are listed on each product page. Capital Events Austin will conduct a site assessment before confirming carnival ride orders for venues with space constraints.
